Webmaster [State]

The Webmaster of the Association for Environmental and Outdoor Education will:

  1. Maintain and enhance the AEOE web site (aeoe.org) with text, graphics, and forms.
  2. Post in a timely manner information of interest to members, including conference announcements and details, activities, nomination and election information, Howard Bell Award information, job announcements, board meeting minutes, and newsletter copies.
  3. Coordinate with the section chairs, section newsletter editors, and the state coordinating secretary to develop and identify information of interest to the members on the web site.
  4. Solicit and acquire additional information from the members and the environmental education community for the web site.
  5. Type, scan, or import and edit text for the web site.
  6. Write original articles of interest to the membership, as appropriate.
  7. Identify and maintain links to other sources of environmental education information available on the Internet
  8. Research web development to identify, evaluate, and implement Internet technologies on the web site
  9. Coordinate with the web site hosting agency or company to maintain high availability, sufficient disk space, and necessary technologies for the web site.
  10. Renew the domain name registration with InterNIC every two years (last renewed, April 2005 - expires 4/28/2010).
  11. Attend the annual meeting of the Executive Committee as well as other meetings of the board and councils as able.

Specific Jobs:

Joblist Coordinator and Institutional Member Liaison position includes first two sections below. Overal Webmaster is everything else.

  1. *Job Announcements: ongoing - *needs regular updating (daily or at a minimum of 1-2 times a week)
    1. Post job announcements as they are submitted
    2. Keep joblist up to date by removing and archiving old announcements (after deadlines if there is one, or if not, after 60 days or after start dates, whichever comes first)
    3. Communicate with employers to let them know their jobs have been posted or are being removed
    4. Update Job Form if needed, and ensure it works properly
  2. *Membership: (ongoing - *needs regular updating - monthly at least) work with membership coordinator to keep web information/mailing lists up to date:
    1. Institutional Members - keep institutional member page updated
    2. Create and update listings for the California EE Provider pages for institutional members
    3. Update Life Member page as needed
    4. Maintain Institutional Member mailing lists with expiration dates to notify organizations of their expiration or opportunities like job fairs
    5. e-newsletter mailing list: keep an updated list of members/institutions who wish to receive their newsletters electronically (with expiration dates) and email them when the newsletters are available online for viewing or download.
    6. Update online forms as needed with any new information (mailing address, offers, etc): regular form | institutional form | change of address form
  3. *Newsletters: (quarterly - *needs regular updating) work with both section newsletter editors to get newsletters posted on the website in a timely manner
    1. Make sure newsletter editors send you copies of the newsletter when they send them to the printer. Preferably as pdf files, but PageMaker or InDesign or Word documents can work as well.
    2. Post newsletters on the newsletter page and link to pdf files or webpages of the newsletter/newsletter contents
    3. post any books mentioned in the newsletter on the newsletter booklist page
    4. e-newsletter mailing list: keep an updated list of members/institutions who wish to receive their newsletters electronically (with expiration dates) and email them when the newsletters are available online for viewing or download.
  4. *Conferences: (Fall and Spring - *needs regular updating) work with conference coordinators to get conference information, publicity, registration and updates online in a timely manner
    1. Fall - get information about the theme, dates, location and events online as soon as possible, and promote the conference, on the calendar, conferences, news and home pages.
    2. Spring - get information about the theme, dates, location and events online as soon as possible, on the calendar, conferences, news and home pages. Get registration materials online at the same time that they come out in the newsletters. Update information as it comes in about keynotes, entertainment, workshops, contests, etc. Post the tee shirt design, make sure deadlines are prominently displayed on the home page and calendar page and conference index page. Promote the conference on the home page, news, and conferences pages.
    3. Conference Resources: post hand-outs, powerpoints, links and other resources for each spring conference - work with workshop presenter coordinator to make sure these get submittted to the webmaster for posting after the conference.
    4. Coordination – keep records here to help future conference planners
    5. History - keep updated by adding each conference annually (there is also the conference history page in the "About" section - you may wish to combine these two sections, but make sure to make one page a redirect page so links are not broken.
  5. *Calendar - *needs regular updating: Monthly, at least
    1. post all important AEOE dates (conferences, outings, deadlines, etc) on the calendar in a timely manner
    2. Find outside events of interest to AEOE members to post (check archive for potential dates) CEEIN, CREEC, GSEEC are all good resources
    3. Move past months to the archive/keep calendar up to date (you can also use the archive to find examples of dates to post)
  6. Resources: find new resources and keep current links updated (check often for broken links)
    1. General
    2. Teaching - curricula, lesson plans, and sources for background information
    3. *Opportunities - Grants, Training, Deals - *needs regular updating - monthly, at least. Get on mailing lists of organizations such as CREEC, KidsGardening, CDE, Service Learning, etc, to find out about training and funding opportunities to add (focus on outdoor EE)- also use archive of opportunities page to update each month from previous years' opportunities.
    4. Research – keep up to date – post new research (best to download and post because CDE especially is guilty of removing this sort of thing)
    5. Books: Children's EE Literature for the Trail and Newsletter Booklist - solicit book reviews from naturalists using children's literature on the trail and post them along with book purchasing information, post any books mentioned in the newsletter on the newsletter booklist page.
    6. Diversity - find articles, events, curricula, etc pertinent to diversity in EE/Multicultural Outdoor Education
    7. Affiliates - find and maintain relationships with organizations and companies with missions compatible with AEOE that would be of interest to our members
    8. Spiritual EE Resources – post as you find them – fill out various viewpoints
    9. Games - post outdoor ed games
    10. Green Life - Sustainable living resources
    11. *Comic - Rustle the Leaf - weekly: update comic page every Sunday with link to new Rustle the Leaf comic - *needs regular updating
  7. Articles: find and post articles of interest to AEOE Members, including legislation of interest. Also find articles for the Diversity pages
  8. *Board Business - *needs regular updating - Keep information posted and up to date online about the AEOE Board, including:
    1. Contacts - make sure contact information/people listed in postions are up to date
    2. Board Bios - solicit bios from board members for posting
    3. Minutes - get minutes from section/state secretaries from sectional and state meetings for posting online
    4. Policy - post policy and any changes/updates as they are reported to you or made
    5. Planning - Strategic Planning process – keep documents and info posted
    6. Budget - get annual reports from CFO to post online
    7. Forms - keep updated forms online for board members, such as expense reports, budget requests, travel forms, as well as official AEOE letterhead for download
    8. Yahoo! Groups: moderate groups, add/invite members as needed, update preference, email addresses, etc.
    9. Anything else that helps the board do business using the web as a resource!
    10. Newly added: Non-profit Guidelines add as you find resources

Webmaster qualifications:

  1. Access to computer with internet access and appropriate text, WYSIWYG, and graphics software developing and updating web content.
  2. Knowledge of WYSIWYG or html web page editors, such as Dreamweaver or Adobe GoLive. Willingness to develop expertise in additional Internet technologies such as SQL, CGI and JavaScript.
  3. Ability to create PDF files from other documents and to edit PDF documents as needed (usually requires Acrobat Professional)
  4. Regular (daily) access to email. High Speed Internet access is extremely helpful and highly recommended.
  5. Excellent writing, editing, and graphics skills.
  6. Excellent communications skills.

Webmaster Compensation:

  1. Annual Stipend - now divided between two jobs: Overall Webmaster and Joblist Coordinator/Institutional Member Liaison, and paid monthly
  2. AEOE will reimburse expenses (within reason) for special training, equipment or software (pending approval of the board)
  3. Use of aeoeweb Yahoo! email address (keeps AEOE business separate from personal business) account paid by AEOE

Note: The position of AEOE Webmaster is an appointment by the State Executive Board. The position does not have voting privileges on the Executive Board.
