AEOE State Board Meeting

Aaron Rich, rikki Shackelford, Lisa Murphy, Tami Dickinson, Laura Vandezande, Michael Charnofsky, and Debbie Carraway.

Later joined by George Stratman and Zayanne Gardner Thompson.

 

8:00  Welcome and Introductions

 

Aaron Moved that we re-elect George Stratman as State Coordinating Secretary.

            2nd: Laura Vandezande

            Vote: unanimous

 Laura moved that we re-elect Zayanne Gardner Thompson as CFO of AEOE.

            2nd: Michael

            Vote: unanimous

At this time Zayanne and George officially join the phone conversation.

 

California Green Teacher: 

Michael proposes that Helen e-mail brand new memberÕs list to Green Teacher and have them send the magazine and GT letter to AEOE new members. 

Discussion:

George: Can we have a check box on the membership form?  (to avoid sending it to people who do not want the magazine.)

Debbie: ? (sorry, I missed this comment)

George:  Can we just get a stack of them and hand them out to new members at the conference?

Debbie:  ItÕs been difficult in the past.  GT wants it ONLY given to new members – it has been very stressful in the past.

Michael: We havenÕt been successful at limiting it to new members at conference.

George: Can we get a stack from Tim at GT and send them out ourselves with an AEOE intro for new members?

Michael:  Yes but this becomes expensive, and more time consuming.

Debbie: does anyone want to take this on?

rikki: Easiest to have check box on registration form.

Aaron:  How difficult is it to add a check box on the reg. form?

Michael: Not that difficult, Debbie: check box good.

Lisa, Debbie, Aaron: default = you receive GT unless you check no.

 

Motion by Michael:  Helen will send new member list to GT, (they will mail it with a letter explaining this is a one time use of the name/address), members can decline this benefit by checking a box on their membership form.

Discussion: 

rikki: default should be NOT to receive GT

Zayanne: The point is to expose people to GT, they may not know what it is. Default should be to receive it.

Aaron, George: agree

WeÕll revisit with HelenÕs input.  And amend if necessary

Michael:  Who should hear about the conference in Northern California? 

HeÕll be doing the publicity.  Please keep him in the loop about planning and other conference talk.

Aaron:  weÕll work on being better at that.

 

Zayanne:  Registration for fall conference:

Confusing.  ItÕs hard to tell what are membership fees, and what are conference fees on the large group checks.  We need to keep track of this.  Do we have an institutional life membership?  Have we ever?

 

General input:  No, we do not have an institutional life membership, and as far as collective memory serves, never have.

 

Strategic Plan – Debbie

All the committees are at a standstill until the word-smithing committee gets through the vision statement.  Then we can move onto lists, and survey.

Iggy has produced a draft, but the core ideas are still being worked on by the committee, then it will go to strategic plan committee, then to board.

Helen (through D)– external stakeholders like GSEEC, COSA, etc. should participate in the survey.

General thought; the survey is too long, so Debbie has cut it down to a more manageable size.

 

Laura:  Survey Monkey – an online survey site.  She has used it for work.  Worked well, surveys are on-line, and the system compiles the data for your organization.  Not too expensive. (~$25/month?)  She recommends it.

 

?: Online, six pages is not too long, it could be the original form.  Maggie could connect it to our website.

Debbie: WeÕll still send one copy per site to reach folks w/out computer access.

Conference:

Conference pricing: Heather is still working on it.

John Young has been booked but not signed (so unofficial until we get a contract), Bertram Chatham (diversity- helping to insure every student feels comfortable in the outdoor environment) has also been asked, and is interested, but not confirmed as another keynote.

 

Tami: Entertainment:

Salsa band and instructor booked for Friday night.

Saturday band (possibility of Spearhead – theyÕll be returning from a tour in Australia).  If not, a possibility of Hot Buttered Rum, still contacting other bands.

(Let her know if youÕve got a good one whoÕd offer to do it cheap!)

Possible offer by John Hendrickson to speak – The magic (of connecting kids with nature) John is the Director of Woodleaf Outdoor School, Prof. Wildlife photographer, raptor rehab.  (John helped develop a lot of the stuff that later got published in Sharing Nature with Children written by Joseph Cornell.)

 

 

Zayanne: Compensation for Dan Allison: 

we should pay him when we use him, and use him when we need him.  HeÕll give us a discounted rate from his usual consulting fee.

The Chair will decide when to ask his advice, Zayanne will check on fee.
