conference call 11/6/06

1. Set up/check in:
- Tom bringing acorn naturalists catalogues, gift certificate, signs, etc from Helen’s.
- Helen emailed registration info to Tara
- 130 maximum – extra people flexible, park enforces extra vehicles. Overflow vehicles may be able to park at overflow lot at entrance to park. Perhaps we can arrange a “shuttle” if necessary.
- 8 cars for 40 spot, 20 cars for 60 spot, 6 cars for the 25 person spot = 35 cars for 130 people! We will NEED to use overflow lot, which is within walking distance of camp. Helen will send out a reminder re carpooling.
- Tracy Fesco will be first aid volunteer. Does Helen have first aid kit?
- Walkie-talkies? Tom will see if he can borrow some from work.
- Registration: have liability release form out; Tara will bring
Make sure that there is a cash box, & write down conference + membership, etc. on check if brought in, & on form if cash.
- Quiet hour at 10:00 – campsite 1 is main where campfire will be held, other campsites will be quiet sites.
2. Workshops
- 16 workshops confirmed so far, plus some more possibles which would make it higher
- Maggie will bring workshop sign-in forms
- Maggie will include in schedule flier: Schedule, park service rules, water acces, bring in own wood, recycling(no paper or cardboard: plastic, glass & aluminum only)
- Helen’s reminder email: parking/carpooling, water, firewood and potluck reminder (burrito)
- Suggestions for sites
- Everyone bringing clipboards & clips w/cardboard
- Maggie will be presenter liason
- “swap meet” type workshops
- Park service workshop – Tom will contact
3. Conference Program
- Saturday dinner: encourage people to bring their own food over & eat together. Also bring index cards & sharpies to label ingredients (Tom), Table cloths (Laura).
- Opening: introduction & “go-to’s”
- Closing: Maggie
- Evals: include element of it in closing – 1/2 sheet of “creative” response (greatest discovery of weekend)
- EE’r of the year: David – Laura will introduce
- the “conch” will be contacted (Murphy) to mark the time
- Arrival “treats” – wine and cheese? Maggie’s hot cocoa & tea
- Yoga – swap
- Bird watching – Maggie will ask person who is leading bird workshop
Other:
- Laura will put together merchandise for evals.
- Costs: only appx. $100 for campsite, no other expense.
- Food for board meeting Sunday – Laura
- Friday night Entertainment: no cost
- Spring conference programs: maybe Tara will copy, Michael will contact her
- Tom will pick up regular size AC naturalists catalogues
- Maggie will bring Jimminy Cricket Environmentality goodies
- Wristbands for crashers? Verdict is that it’s not necessary. Name tags? Tom will ask Helen re plastic tags & determine paper necessities. Stickie tags might be easier. Tom will take care of this.
- Mugs etc. to sell: Zayanne will send box to Tara
